Overview :

Provides comprehensive support to multiple senior leaders and serve as the first line of contact for the respective department. The role manages complex calendars, budgets, and project plans and manages communications with internal and external stakeholders. Partners closely with the assigned senior leaders and key managers on a daily basis to proactively manage the execution of projects and priorities, including day-to-day follow-up on deliverables, oversight of deadlines, and managing communications. May prepare and distribute reports and presentations, managing sensitive communications, and serving as a trusted liaison across teams and cross-functional partners, ensuring seamless and effective results.


Responsibilities :
  • Plans and organizes meetings, activities, and events to ensure alignment with strategic priorities. Monitors schedules of senior leaders and responds swiftly and accurately to changes based on the demands of these roles.
  • Manages complex calendars and monitors schedules to ensure all time-sensitive matters are addressed promptly; Adjusts and responds swiftly and accurately to changing demands.
  • Monitors and reviews incoming email and other correspondence on behalf of senior leaders. Uses discretion and professional judgment in drafting responses and following up on communications with appropriate level of discretion.
  • Organizes and prepares agendas, presentations, and reports for executive meetings, and may include materials for Board of Directors.
  • Performs budget and expense report tracking and reimbursement processing; processes invoices and purchase orders and partners with Accounting department to ensure timely processing.
  • May provide contract administration support for assigned departments.
  • Monitors pending projects for follow-up and timely execution and identifies potential issues for escalation.
  • Administers all travel planning and reimbursement for itineraries that may require multiple destinations and/or people, often with short lead time and complicated schedules
  • Works with respective executive to gather information and prepares agendas,  presentations, and reports that may be used for a variety of discussions up to and including Board of Director meetings.
  • Manages relationships and communications with internal and external stakeholders with professionalism, sensitivity and confidentiality.
  • Assists team members with administrative or other project related needs including meeting logistics, document preparation, and tracking deadlines.
  • Supports onboarding of new team members and helps maintain team resources, directories, and shared files as needed.
  • May be required to plan and execute internal events, offsites, and team building activities.
  • Provides backup to other administrative staff as required or needed from time to time or for specific duties.

Qualifications :
  • Excellent verbal and written communication skills
  • In-depth knowledge of Microsoft Office Suite with high level of proficiency in Word, Excel, PowerPoint, and Outlook
  • Ability to interface well with all departments within the company in a professional and courteous manner
  • Skilled in preparing reports and presentations containing complex information and managing budgets
  • Demonstrated ability to manage multiple tasks simultaneously, exceptional organizational and time management skills
  • Strong interpersonal skills to interface effectively with internal and external parties in a highly professional manner and approaches work with a collaborative mindset.
  • Ability to maintain the highest level of confidentiality and manage sensitive material concerning the organization with the utmost discretion
  • Familiar with expense management tools
  • Able to manage competing priorities and thrive under pressure
  • Proactive, resourceful and solutions oriented
  • 5 + years prior experience in administrative professional roles, preferably supporting executive level leaders
  • Prior experience interfacing with Board of Directors preferred

Salary Range : USD $74,400.00/Yr. - USD $102,300.00/Yr.
